In an effort to maintain transparency to our donors and supporters, we request that any event advertised as being held in support of Richmond Hospital Foundation should not have expenses that exceed 50 per cent of gross proceeds. At a minimum, 50 per cent of gross proceeds should benefit Richmond Hospital Foundation if the event is being promoted as a charitable event.

The Event Organizer agrees to:

Must be 16 years or older to organize an event or have a parent, guardian or teacher sign off.
Only use the authorized name and/or logo of Richmond Hospital Foundation for promotion and the duration of the event.
Send all promotional materials to the attention of the Special Events Department at [email protected] with a minimum of 3-business days for review and approval prior to production.
Organize the event to its entirety, including but not limited to, production, marketing, ticketing, staffing, and/or volunteers for the event.
Obtain all necessary permits, licenses or insurance.
Handle any monetary transactions and present the donations and donation details to Richmond Hospital Foundation within 30 days following the event.
Cause Related Marketing – Where a 3rd party decides to donate full or partial proceeds from the sale of an item or service to the Foundation, all promotional materials made available to the public must clearly state the dollar amount donated per item. If there is a maximum amount the charity will receive, that also needs to be stated. Eg. $1 from the sale of every coffee will be donated, to a maximum of $10,000.
Follow all the receipting policies of Richmond Hospital Foundation outlined by the Canada Revenue Agency (Canada Revenue Agency).
Contact Richmond Hospital Foundation at least 2 weeks prior to the event, if the event is cancelled.

Richmond Hospital Foundation (RHF) agrees to:

Provide support and guidance to event organizers where required.
Have a representative available for a cheque presentation at a mutually agreed upon time and location.
Provide a charitable receipt for monetary donations received by the Foundation in accordance with the Canada Revenue Agency guidelines.

Richmond Hospital Foundation (RHF), however, cannot:

Fund, reimburse or issue tax receipts on event expenses.
Sell tickets, solicit auction items or sponsor on behalf of organizer.
Provide mail/email lists such as sponsor or donor lists and hospital staff lists.
Apply for gaming or liquor licenses on behalf of organizer.
Participate in events that involve telemarketing and/or an agreement to raise funds on a commission, bonus or percentage basis.
Participate in events that involve promotion of a political party, candidate or appearing to endorse a political activity.
Cannot accept funds that contradict the Foundation’s core policies and values.

Richmond Hospital Foundation reserves the right to withdraw at any time and will not assume any legal or financial liability and is not responsible for any damage or accidents to persons or property.
